Adding a
Mailbox
After the initial account has been created on installation, to add a
further Account open the MAILBOX menu, on the Main Window and choose
ADD. This opens the "Add mailbox" dialogue where you can select whether
it is to be a new account created from scratch or from a Setup file.
If an Account is to be created manually, simply select the appropriate
radio button and click the OK button. This will open the
Account
Settings dialogue. If a Setup file is to be used check the
appropriate box first. These files populate the Account Settings dialogue
with the correct settings for particular mail service providers and leave
only personal information, such as username, email address and password to
be completed.
NOTES:
The Downloads page provides a small
selection of Setup Files for a number of popular free mail service
providers. The Install files generated by certain ISPs signup CDs may
also be used as Setup Files. These may also enter the personal
information entered during the account setup procedure with the ISP.
The Developers Section of the User Guide
includes a page that provides details of the Format
of Setup Files and how advanced users can create their own. If you
create such a file please post it on the Forum.
The Account Settings Dialogue
The Account Settings dialogue is used both to create and edit details
of any account. The contents of its six tabs are described below.
POP3 Settings
- Account name:
- For most people this can be the name of the ISP. Accurate spelling
is not vital and abbreviations can be used. The field is only used to
identify which account is selected if you are using more than one
e-mail account.
TIP: If you expect to use more than one account and the Command Line Option to select a
particular account on launching nPOPuk then avoid using spaces in
the account name.
- POP3 server:
- Enter the server name here. When checking for mail you will receive
an error "Unable to find email server" if you do not enter this field
with complete accuracy!
- Port:
- The default setting of 110 will work with most servers unless they
require SSL. (An increasing number of mail providers, including
Yahoo and GMail, use the SSL protocol.)
- NOTE: When the Enable
SSL check box is active the default Port entry changes to the
conventional one for that protocol, so confirm this setting after
checking that box.)
- Username:
- This is your account user name, used to logon to your Mailbox.
- Password:
- This is password associated with your mail account.
- Enable APOP:
- APOP is a method used by some servers to authenticate a user as they
log on. Leave this unchecked unless your ISP or mail provider advises
you otherwise.
- Enable SSL:
- Secure Socket Layer is a method of achieving higher levels of
security in the exchange of mail. Leave this unchecked unless your ISP
or mail provider advises you otherwise.
Once checked the entry in the Port field changes to 995 and the SETUP
button becomes active and a further dialogue can be opened (See SSL
dialogue below). Select the two options as required by your mail
service.
- Disable RETR command:
- The RETR command is used by most servers simply to retrieve
full messages. However, some servers are set also to delete mail when
messages are retrieved.

TIP: If you find messages
disappearing from account then your server probably is set up to
delete messages on retrieval. (Google operates GMail and
GoogleMail accounts this way.) For such accounts check
this box to force nPOPuk to use the TOP command instead.
This avoids the problem and messages can be kept in account
Mailboxes until specifically deleted.
- Exempt from Check All/Update All:
- nPOPuk can Check and Update all accounts (See the CONNECT
menu, on the Main Window.) logging on to each account's server's to
process any mail, according to the options set for that account. If
this option is checked, then the current account will be excluded from
both checks and updates of the mail servers.
SMTP Settings
- Name:
- This setting controls how your name will be displayed on outgoing
mail. Use conventional capitalisation and spacing, e.g. "Jo Smith".
- Mail address:
- Complete this accurately!
- SMTP server:
- Enter the server name here. When checking for mail you will receive
an error "Unable to find email server" if you do not enter this field
with complete accuracy!
- Port:
- The default setting of 25 will work with most servers unless they
require SSL. (An increasing number of mail providers, including
Yahoo and GMail, use the SSL protocol.)
- NOTE: When the Enable
SSL check box is active the default Port entry changes to the
conventional one for that protocol, so confirm this setting after
checking that box.)
- Enable SMTP-AUTH:

SMTP-AUTH is a more secure method of posting mail. If your mail
provider requires this setting, check the box. The SETUP button then
becomes active and an additional dialogue opens. Complete the fields,
as required.
- Enable SSL:
- Secure Socket Layer is a method of achieving higher levels of
security in the exchange of mail. Leave this unchecked unless your ISP
or mail provider advises you otherwise.
Once checked the default port changes to 465 and the SETUP button
becomes active and a further dialogue can be opened. On the "Set SSL"
dialogue, select the options required by your mail service.
- POP before SMTP:
- Almost all servers have moved to USERNAME & PASSWORD as
authentication, and nearly all of those have moved to using SSL to
keep the USERNAME and PASSWORD private from network traffic sniffers.
However, older servers may be set to demand that the POP3 server is
logged into first as an authentication method. No mail is retrieved
during this operation. Check this box only if your mail service
indicates that it uses this protocol.
- NOTE: A setting in the nPOPuk.ini
file will add the mail collection facility to this option. For those
with more modern servers, options available through the Global
Options dialogue fulfil this function.
- Always Bcc:
- If checked, a copy of every outgoing message from the account,
although not displayed as such in the Property
dialogue, will be sent as a Bcc to the address in the Mail
address field. If an address for the Bcc is specified here, this will
replace the default address for the Bcc.

This facility can be useful if you use nPOPuk while on the road and
wish to have an electronic copy available at your normal computer
when back at home.
Adding a Signature to Outgoing Mail
When a message composition window is opened for a new, forwarded
message, or a reply, a standard block of text can be inserted
automatically at the bottom of the message. This is normally used as a
"signature". Any text entered in this dialogue will form this signature.
Any text may be entered here, but convention says that it shouldn't
exceed four lines or be wider than about 70 characters.
Filtering
Incoming Mail
Filters allow automatic handling of messages received from the server.
Various actions, such as marking mail for deletion, copying or moving
mail to defined Saveboxes can be invoked on messages that match
user-defined conditions.
The Filters page provides a detailed guide
on how to apply them either globally, across all accounts, or to
individual accounts.
Connection
By default, connection is set to LAN.
If necessary, select the "Dial-up" radio button. The remainder of the
dialogue then becomes active.
- Connection:
- Drop down the list to pick any further dialup connections that have
been defined for your modem.
NOTE: Those who frequently switch connections or locations
can sometimes have difficulty sending mail. This is not a
restriction of nPOPuk but of server permissions. (There is further
information on the page Update the
Server.)
- Username:
- Enter the username for the selected connection.
- Password:
- Enter the password for the selected connection.
- Hang up and dial this account's server:
- Check this option if an account requires a direct modem connection,
i.e. access via a connection to another ISP is not allowed. When the
option is set, if mail is checked or an update attempted, and an
existing connection is in place but not with the required server, the
existing connection will be dropped and the appropriate server
dialled.
- NOTE: This option is
redundant if nPOPuk is used with a single dialup connection.
Recv
- Use global option:
- This option is checked by default. If cleared it allows Receive
options to be set for the selected account. See the Global Options
page for details of the available settings.
- Filename:
- By default, this field will be empty and nPOPuk will use a filename
of the form "MailBox#.dat", where # corresponds to the number of the
mailbox. When a filename is entered here the mail data file for the
account will be renamed. If you have many accounts it can be easier to
find, if a meaningful name is entered here.
